Teams

Overview

Teams let you share servers with other people so you can manage them together in FlashPanel. You create a team, invite members by email, and then share servers with the team. Team members see and manage those servers directly from their own accounts.

Open the Teams page from the Teams item in the left menu. The page has two columns:

  • Your Teams (left): every team you own or belong to. Click a team to manage it.
  • The selected team (right):
    • Team header: the team name, owner, number of members and shared servers, and the Rename button (team owner only).
    • Team Members: the owner and members. The team owner also sees the invite form and Pending Team Invitations.
    • Shared Servers: the servers shared with the team.
    • Delete Team for the team owner, or Leave Team for members.

On small screens, the two columns are stacked.

Every account always has a personal team. The personal team cannot be deleted.

Owner and member permissions

  • The team owner (the person who created the team) can rename the team, invite and remove members, cancel invitations, share servers with the team from the Teams page, and delete the team.
  • Members can manage the servers shared with the team, share their own servers with the team (from the server page), and leave the team.

Members manage shared servers almost like the owner, but only the server owner can delete the server, stop sharing it, or transfer it. Per-member permission settings are not available yet.

Create a team

  1. Click Create Team at the top right of the page.
  2. Enter the Team Name. You will be the Team Owner of this team.
  3. Click Create. The new team opens right away.

If your current plan does not include teams, the Create Team button is hidden. Instead, the page lets you subscribe to the Team Add-on right there, or click View Plans to choose a plan on the Billing page.

Select a team to manage

The Your Teams list shows each team with its owner and member count; your personal team is marked Personal. Click a team to view and manage it on the right. The selected team is highlighted, and the page opens on the team you viewed last.

Turn on Hide empty team to hide teams that have no members yet. When you have many teams, use the search box to find a team by its name or its owner's name.

Invite members

  1. Select the team you want to invite members to.
  2. In the Team Members section, enter the email address of the person you want to invite in the Invite by email field.
  3. Click Send Invitation.

FlashPanel sends an invitation email to that address. If the invitee already has an account, the invitation also appears at the top of their dashboard right away. It stays under Pending Team Invitations until the invitee accepts or declines it; the list updates on its own when they respond, without reloading the page. To withdraw an invitation, click the Cancel Invitation icon on its row.

  • You cannot invite someone who is already a team member or who already has a pending invitation.
  • Invitations do not expire; an invitation stays valid until it is accepted, declined, or cancelled.

Accept or decline an invitation

From the dashboard

When you are logged in with the invited email address, each pending invitation shows as a notice at the top of every page, for example: Jane Doe invited you to join the Agency team.

  • Click Join team to join right away.
  • Click Decline, tick Yes, Do it!, then click Decline to turn the invitation down. The invitation is removed; if you want to join later, the team owner has to send you a new one.

The notice only appears once your account email is verified. New and withdrawn invitations show up immediately, without reloading the page.

From the email

  1. Open the team invitation email.
  2. If you do not have a FlashPanel account yet, click Create Account and register with the exact email address that was invited.
  3. Log in to FlashPanel with the account that uses the invited email, then click Accept Invitation in the email.
  4. The screen shows Confirming... and then returns to the Teams page when done.

After you join, the servers shared with the team appear in your server list.

WARNING

You can only accept an invitation while logged in with the invited email address. If you are logged in with another account, log out and log in again with the correct account.

Share servers with a team

From the Teams page

This method is for the team owner:

  1. Select the team, then click Share Servers in the Shared Servers section.
  2. Check the servers you want to share. The list only contains servers you own. Use Select All to check every server, or the search box when you have many servers.
  3. Click Save.

Your servers that are already shared are pre-checked in the dialog. Unchecking a server and clicking Save stops sharing that server. Servers shared by other members are not listed and stay shared.

From the server page

A server owner (even one who is only a member of the team) can share their own server with any team they belong to:

  1. Open the server's detail page.
  2. In the Utilities group, click Share Server.
  3. Check the teams you want to share with (uncheck a team to stop sharing with it).
  4. Click Share.

Stop sharing

In the Shared Servers section, click the Stop sharing icon on the server's row and confirm. The icon is only shown on servers you own, which are marked Yours. Click the server name to open its detail page.

Plan limits

Sharing servers with a team requires a plan that supports Teams. The maximum number of servers in each team equals the number of servers included in that plan.

Grant root access

After you use Grant root access, the server is no longer shared with any team. Share it again if needed.

Rename a team

  1. Select the team you want to rename.
  2. Click Rename in the team header.
  3. Enter the new name and click Save.

Only the team owner can rename the team.

Manage members

The Team Members section lists the team owner (marked Team Owner) followed by the members, with their avatars and email addresses. Your own row is marked You.

Remove a member

  1. Click the Remove Team Member icon on the member's row.
  2. Confirm in the Remove Team Member dialog.

A removed member no longer sees the servers shared with the team, except servers they own themselves. The servers they shared with the team are no longer shared.

Leave a team

  1. Select the team you want to leave.
  2. At the bottom of the page, click Leave Team.
  3. Confirm the action.

After leaving, you can no longer manage the servers shared with that team, and the servers you shared with it are no longer shared. The team owner cannot leave a team they created; delete the team instead if it is no longer needed.

Delete a team

  1. Select the team you want to delete.
  2. At the bottom of the page, click Delete Team.
  3. Confirm the action.

Deleting a team removes all members from the team and stops sharing its servers. The servers themselves are not deleted and stay with their owners.

Notes & warnings

  • Note: Transferring team ownership is not available yet. To transfer ownership of a server to someone else, use Server Transfer.
  • Note: The personal team cannot be deleted.
  • Note: A team with no members and no shared servers may be deleted automatically by the system.
  • Warning: Team members can act on shared servers (install, configure, manage sites, and so on). Only share servers with people you trust.
